Fleet DVIR & DOT Compliance

If you run commercial vehicles, inspection reports and maintenance records aren't optional — they're federal law. Here's what DVIR requires, how long to keep records, and how to stay audit-ready. Last updated: June 2026 · 8 min read.

What a DVIR Is

A Driver Vehicle Inspection Report (DVIR) is the written record a driver completes documenting the condition of a commercial motor vehicle. Required under FMCSA §396.11 and §396.13, it's the paper trail proving that defects affecting safety were found, reported, and fixed before the vehicle went back on the road. At minimum the inspection covers these safety-critical systems:

The Compliance Cycle

Pre-trip inspection

Before driving, the driver inspects the vehicle and must be satisfied it's in safe operating condition. The driver may not operate a vehicle with a defect likely to cause a breakdown.

Post-trip DVIR

At the end of each driving day, the driver completes a written report covering the required components. Under FMCSA §396.11, a report is required for each vehicle operated.

Repair & certification

If a defect is reported, the carrier must repair it (or determine repair isn't needed) and certify the correction before the vehicle returns to service.

Record retention

DVIRs and certification of repairs must be kept at least 3 months. Annual inspection records are kept 14 months, and maintenance records for the period the vehicle is controlled plus 6 months.
